Recall and hygiene reminders that include a payment link

Updated 10 September 2026 · 6 min read

A recall reminder reaches a patient who is already thinking about your practice, which makes it the best-performing place to attach an outstanding balance link. Combine them carefully: lead with the appointment, mention the balance plainly, and never make paying a condition of booking.

Two messages competing for the same attention

Practices usually run recall and collections as separate campaigns, so the same patient gets a booking text on Monday and a balance text on Thursday. Both perform worse for it.

One message that handles both respects the patient's attention and gets a better response on each.

Lead with the appointment

The reason to open the message is the hygiene visit. The balance is a second line, stated plainly with the amount and a link, not buried or dramatised.

Patients who owe nothing simply get the recall message, so the flow works for the whole list.

Never gate the appointment

Refusing to book a hygiene visit until an old balance clears loses the patient and the balance. Let them book, keep the link live, and follow up separately if it stays unpaid.

The exception is a written payment plan that has failed repeatedly, which is a conversation rather than an automated message.

Measure both outcomes

Track bookings and collected balances from the same send. If the balance line ever suppresses booking rates, split them again — but in most practices it does not.

Receivables ageing tells you which patients to include and which have moved past reminders into plan territory.

Frequently asked

Should the balance amount be in the message?
Yes. Hidden amounts generate replies asking what is owed, which costs more front-desk time than the message saved.
Can reminders be scheduled automatically?
Yes, with the payment link included, as part of the subscription.
What if the patient disputes the balance?
Handle it as a conversation and pause the automated reminders for that patient until it is resolved.
