Multi-location med spas: one account, separate books per location

Run one account with locations underneath it. Payments, staff logins and reporting are scoped per site so each manager sees their own numbers, while clients, memberships and packages stay on one record and can be redeemed anywhere. Payouts still settle to your own bank through your own Stripe account.

Separate books, one client list

The usual mistake is opening a second everything — second processor, second client list, second membership scheme — and discovering a year later that nobody can answer a group-level question.

Locations solve this the other way round: one client and membership record, with each payment tagged to the site that took it.

Who sees what

Managers get access to their own location's payments, customers and reports. Owners see everything and can compare sites in one view. Staff access is granted per person and revoked the day someone leaves.

This matters more than it sounds: shared logins are the most common security problem in multi-site practices, and they make per-site accountability impossible.

Memberships and packages that travel

A membership sold in one location should be redeemable in another, otherwise clients feel penalised for using the nearer site. Because the balance sits on the client record, redemption anywhere reduces the same balance.

Agree internally how inter-site redemption is credited between locations before you launch it, not after the first argument.

Reporting the group actually uses

Two reports drive most decisions: revenue per location per month and membership churn per location. Both export to CSV for the accountant.

Fees and payouts are visible per site too, which is what makes an underperforming location obvious early rather than at year end.
