Why med spas outgrow ordinary card processing

An aesthetics practice does not sell one thing once. A single client might book a consultation, pay a deposit to hold an injector's chair, buy a six-treatment laser package, top up with retail skincare, and then sit on a monthly membership. Ordinary card processing handles exactly one of those: the single charge at the counter.

Everything else ends up in a spreadsheet. Package balances get tracked by hand, memberships get re-keyed each month, and deposits are taken over the phone by reading a card number aloud — which is both a compliance problem and a chargeback waiting to happen.

Deposits are the highest-return change you can make

Injectable and laser appointments block a licensed provider's calendar. A missed appointment is not a small loss, it is the full room rate for that slot. Taking a card-backed deposit at booking makes the client commit, and it gives you a clean, documented basis for a cancellation policy.

The mechanics matter. A deposit collected through a hosted checkout page carries the client's authentication, an emailed receipt and a clear description on their statement. A number scribbled on a booking sheet carries none of those, and it is the version that loses disputes.

Packages and memberships change the cost conversation

When a client prepays for six treatments, you take one card payment instead of six. Your processing cost per treatment drops, your cash arrives sooner, and the client is far more likely to come back — they have already paid.

Memberships do the same job on a monthly rhythm. The payment software's job is to keep the remaining balance and remaining sessions attached to the client record, so the front desk can see it without opening anything else.

What you should be charged, itemised

There are two separate costs and any honest provider will show them separately. Stripe charges its own published processing rate directly to you, and it is billed by Stripe. Enterprise Pay Gateway charges a monthly subscription starting at $49 plus a platform fee on processed volume, from 0.75% on Starter down to 0.20%–0.35% on enterprise terms.

Be wary of a single blended percentage. It is not cheaper, it just makes the two lines impossible to compare against another provider.

A practical setup order

Turn on deposits for injectable and device appointments first — that is the fastest measurable win. Then move your top three treatment packages onto prepaid balances. Add memberships last, once package tracking is behaving, so the front desk only learns one new thing at a time.
