Switch in three steps rather than one. Import clients, products and outstanding package balances first, re-authorise recurring memberships on the new system with a clear client email, then move new payments across and keep the old system read-only until the last membership cycle has run cleanly.

What actually breaks in a switch

Not the card payments. What breaks is the recurring billing and the package balances, because those live in the old system's own records and do not travel automatically.

Plan the migration around those two things and the rest is straightforward.

Step one: import the data

Bring clients, products and treatment prices across by CSV, and record outstanding package balances as store credit or package balances on the new client records.

Reconcile the totals before anyone takes a payment. An hour spent here saves a month of disputes about how many sessions someone has left.

Step two: re-authorise memberships

Recurring members need to authorise the new arrangement. Send one clear email explaining that billing is moving, showing the same price and date, with a single link to confirm the card.

Expect this to take two cycles. Run the old billing until each member has confirmed, then stop it — never bill both.

Step three: move new payments and close down

Switch checkout, links and in-room payments to the new system on a quiet week, keep the old system readable for reporting and refunds on historic transactions, and set the closure date once the last membership cycle has run cleanly.
