In a multi-provider practice, every payment needs a provider attached to it at the point of collection. That single habit produces accurate associate reporting, removes month-end reconciliation from the practice manager's desk, and lets each clinician see their own collections without seeing the whole practice.

Associate pay depends on collections, not production

Most associate agreements pay on what was collected, which means the payment record — not the clinical ledger — is the document that settles the month.

If payments are not attributed as they are taken, someone rebuilds the attribution by hand later, and the associate has every reason to question it.

Attribute at collection

Tag the provider when the charge is taken, including deposits, plan instalments and balances collected after a claim settles. Package or plan payments should credit whoever the agreement says they credit — decide once and apply it.

Refunds need the same treatment, otherwise a refunded case quietly inflates someone's month.

Access per person

Give each clinician and each front-desk member their own login with the access their role needs. Associates can see their own collections; the practice manager sees everything.

Shared logins make attribution meaningless and are the first thing to go when a practice grows past one provider.

The report that ends the argument

One per-provider collections report per period, exported to CSV and attached to the pay run, resolves nearly every associate query before it is raised.

Keep the exports. A year of them is also what a future buyer or accountant will ask for.

Yes. Team access is per person, so a clinician can be limited to their own collections.
