Med spa payment processing: the annual review checklist

Once a year, check six things: your platform fee tier against actual volume, membership churn and failed payments, outstanding package and gift card liability, your dispute rate and causes, who still has staff access, and whether your statement descriptor still matches your trading name. Each one either saves money or prevents a dispute.
Fees against actual volume
Pull twelve months of processed volume and check it against the plan you are on. The Starter plan's 0.75% platform fee costs more than Growth's 0.60% above a certain volume, and practices routinely stay on the wrong one for a year.
Look at Stripe's own processing charges separately. They are billed by Stripe under your own agreement and are not something the platform marks up.
Memberships and failed payments
Two numbers: how many members you lost, and how many of those left through a failed card rather than a decision. The second group is recoverable and is usually larger than owners expect.
Check that retries and update-card emails are switched on and that the emails still name the practice correctly.
Outstanding liability
Total the unredeemed package sessions and gift card balances. That figure is money you owe in treatment, and it belongs in your year-end conversation with the accountant.
Anything long expired needs a decision — converted to credit or written off — rather than sitting there indefinitely.
Disputes, access and descriptors
Review every dispute from the year and group them by cause. If unrecognised descriptors appear at all, fix the descriptor this week.
Then remove staff logins for anyone who has left, confirm each remaining person's access matches their role and locations, and check that your published cancellation and expiry policies are the ones actually in use.

- Annually, or any time monthly volume changes materially. The lower platform fee on a higher tier can more than cover the higher subscription.
- What is a healthy dispute rate?
- Lower is better and card networks act on sustained high rates. Track the causes rather than the raw number and remove the preventable ones.
- Where do we see unredeemed packages?
- Package and credit balances sit on client records and are included in reporting, which exports to CSV.
